Direct billing is a process that allows health service providers to submit claims directly to your insurance provider for covered counselling or therapy services. Instead of paying the full session fee upfront and waiting for reimbursement, you pay only the portion not covered by your insurance, if any. 

Direct billing significantly reduces the financial burden by eliminating the need to pay full session fees upfront, making therapy more financially accessible and reducing stress about immediate payments. The streamlined process saves valuable time and effort by avoiding the traditional reimbursement process—we handle all paperwork and submissions directly with your insurance provider.

With our direct billing service, you’ll know exactly what portion of your session is covered before your appointment, allowing for better financial planning and peace of mind. This clarity means you can spend less time managing paperwork and more time focusing on your mental health journey and personal growth.

How Does Direct Billing Work?

We understand that starting therapy can feel like a big step, so we've designed our process to be as welcoming and straightforward as possible. Here's how we'll support you from the very beginning:

For New Clients:

Step 1: Understanding Your Coverage

Before your first session, we recommend having a conversation with your insurance provider. This initial step helps ensure you feel confident about your coverage. Ask about your mental health benefits, including which types of practitioners are covered (RCC, CCC, RSW), your coverage limits, and whether you need pre-approval. Our team is here to help you understand what questions to ask if you’re unsure.

Step 2: Finding Your Perfect Match

Choosing the right therapist is crucial for your healing journey. Take time to review our therapist profiles, considering both their areas of expertise and their credentials. Once you’ve found someone who resonates with you, you can easily create your profile in our secure Janeapp system and schedule your first appointment. We’ll need a credit card to hold your spot, but remember – with direct billing, you’ll only be charged for any portion not covered by your insurance.

Step 3: Complete our Direct Billing Form

To ensure everything runs smoothly, we’ll need a few documents from you at least 48 hours before your first appointment. Think of this as laying the groundwork for a worry-free therapy experience. We’ll need: Your personal details (full name and birth date) Insurance information (policy and ID numbers) A copy of your insurance card Credit card information for any remaining balances Primary policyholder’s information if you’re under someone else’s plan

For Existing Clients: Transitioning to Direct Billing

Option 1: Through Your Therapist

If you’re already working with one of our therapists, transitioning to direct billing can be as simple as a conversation during your next session. Your therapist, who already understands your journey, will guide you through the process and provide an electronic consent form.

Option 2: Through Our Client Care Team

Prefer to handle the administrative details separately? Our dedicated Client Care Coordinator is here to help. They’ll guide you through each step of the process, from requesting the setup package to confirming your direct billing activation. You’ll receive personalized support throughout the transition, ensuring you feel confident and informed about the changes to your billing arrangement.

For eligible insurance partners, we process direct billing automatically and charge any remaining balance to your credit card. If direct billing isn’t available, we’ll provide detailed invoices for your records.
